Small business paperwork checklist for UK SMEs

When you run a small business, paperwork arrives through calls, messages, emails and conversations. This checklist helps you turn that scattered information into a repeatable process, whether you work alone or manage a team.

Give every enquiry a next action

Record the customer, contact details, request, date received and person responsible. Decide what information is missing before quoting. Give the next action a date so enquiries do not depend on someone remembering a conversation. For example, a request for a site visit should become a named task with the customer contact and proposed timing attached.

Keep the agreed scope connected to the work

Use a reference for each quote and keep the issued version with its assumptions and exclusions. When the customer accepts, connect that quote to the job record. Record requested changes separately and retain the agreement before treating them as part of the job. This makes it easier for the person doing the work to find what was actually agreed.

Make invoice follow-up a routine

Keep invoice references, issue dates, agreed due dates, amounts and recorded payments together. Review outstanding balances against your own records before contacting a customer. A payment reminder should identify the relevant invoice and ask a clear question. A tracking workbook supports this routine but does not replace your accounting records or professional advice.

Build processes someone else can follow

Choose one recurring task that currently depends on the owner, such as booking a job or preparing a handover. Write down the trigger, required information, steps, responsible person and completion check. Ask a colleague to try the instructions and record what was unclear. Improve the procedure based on how the work actually happens.

Know where current documents live

Use a document register with a file location, owner, revision and next review date. Store sensitive records with appropriate access restrictions. For health and safety or fire paperwork, identify the documents your work and premises actually need and who is competent to prepare and review them. A template provides a recording structure; it does not establish that the assessment or controls are adequate.

Start with one live job

Avoid spending a week entering every historical record before you use the system. Choose one current job, connect its enquiry, accepted quote, work record, documents and invoice, then use a weekly review to spot missing information. Once that route works, bring the rest of your live workload into the same routine.
